Key points: These terms create a binding agreement between you and SLV Technologies Pvt. Ltd. when you use StaffSync360. We provide the platform as a service. You own your data. We do not claim any rights over your candidate or client data. You can cancel at any time. Disputes are governed by Indian law.

1. Acceptance of Terms

By creating an account, accessing, or using StaffSync360 ("the Service", "the Platform"), you agree to be bound by these Terms of Service ("Terms"). If you are using the Service on behalf of an organisation, you represent that you have authority to bind that organisation to these Terms.

If you do not agree to these Terms, do not use the Service. These Terms constitute a legally binding agreement between you ("User", "you") and SLV Technologies Pvt. Ltd. ("SLV Technologies", "we", "us").

These Terms should be read alongside our Privacy Policy, which is incorporated herein by reference.

2. Definitions

  • "Service" / "Platform": The StaffSync360 web application, APIs, and related services
  • "Account": Your registered user account on StaffSync360
  • "User Data": All data you upload, create, or generate within the Platform
  • "Candidate Data": Personal information of job candidates managed through the Platform
  • "Subscription": A paid plan (Pro or Agency) granting access to paid features
  • "Free Plan": The no-cost tier with limited features

3. Account Registration and Security

To use StaffSync360, you must register an account with a valid email address. You are responsible for:

  • Providing accurate and current registration information
  • Maintaining the confidentiality of your login credentials
  • All activity that occurs under your account
  • Notifying us immediately of any unauthorised access at security@staffsync360.com

You may not share your account credentials with others. Each user must have their own account. Team accounts use per-seat licensing as described in our pricing.

You must be at least 18 years of age to create an account. By registering, you represent that you meet this requirement.

4. The Service

4.1 Service Availability

We aim to maintain 99.5% uptime for paid plans. We do not guarantee uninterrupted access. Scheduled maintenance will be communicated in advance. We are not liable for downtime caused by factors outside our reasonable control (force majeure, infrastructure outages, etc.).

4.2 Feature Changes

We reserve the right to modify, add, or remove features at any time. We will provide reasonable notice for significant changes. We will not materially reduce the core functionality of paid plans without offering a pro-rated refund for the affected period.

4.3 Free Plan

The Free Plan is provided as-is, with no SLA commitments. We may modify or discontinue the Free Plan with 30 days' notice.

5. Plans, Pricing and Billing

5.1 Subscription Plans

Paid plans (Pro and Agency) are billed on a per-user, per-month basis or annually (with a 20% discount). Plan details and pricing are published at staffsync360.com/pricing and may change with 30 days' notice to existing subscribers.

5.2 Billing

  • India accounts are billed via Razorpay. Payment methods: UPI, net banking, credit/debit cards. GST invoices generated automatically
  • USA accounts are billed via Stripe. Payment methods: credit/debit cards
  • Annual plans are billed in full upfront at the start of each annual term
  • Monthly plans renew automatically unless cancelled

5.3 Adding and Removing Users

On monthly plans, adding users is charged pro-rata from the date of addition. Removing users takes effect at the next billing cycle. On annual plans, added users are charged pro-rata; removed users take effect at the next annual renewal.

5.4 Failed Payments

If a payment fails, we will retry 3 times over 7 days. If payment is not resolved, access may be downgraded to the Free Plan. Your data is retained for 90 days during this period.

6. Refunds

We offer a 7-day money-back guarantee from the date of your first paid charge. If you are not satisfied within 7 days of upgrading to a paid plan, contact us at billing@staffsync360.com for a full refund — no questions asked.

Outside the 7-day window, refunds are issued at our discretion for documented service failures. Downgrading or cancelling a plan does not entitle you to a refund of amounts already billed.

7. Acceptable Use

You agree not to use StaffSync360 to:

  • Upload or manage data of individuals who have not consented to being added to a recruiting database
  • Engage in discriminatory hiring practices on the basis of religion, caste, gender, disability, or other protected characteristics
  • Send unsolicited commercial communications (spam) to candidates
  • Attempt to reverse engineer, scrape, or extract data from the platform without authorisation
  • Circumvent access controls, security measures, or rate limits
  • Share account access with unlicensed users
  • Use the platform for any unlawful purpose under applicable Indian or international law
  • Upload malware, viruses, or any code intended to harm the platform or other users
  • Resell or sublicense the Service without our written permission

Violation of these terms may result in immediate suspension or termination of your account without refund.

8. Your Data and Candidate Data

8.1 Ownership

You retain full ownership of all data you upload to StaffSync360 — candidate profiles, client records, job history, submission data, and all User Data. We claim no intellectual property rights over your data.

8.2 Licence to Operate the Service

By uploading data to StaffSync360, you grant us a limited, non-exclusive, royalty-free licence to store, process, and display that data solely for the purpose of providing the Service to you. We do not use your data for training AI models without your explicit consent. Anonymised, aggregated, non-identifiable usage data may be used to improve the platform.

8.3 Candidate Data Responsibility

You are responsible for ensuring you have the legal basis (candidate consent or legitimate interest under applicable law) to upload and process candidate personal data in StaffSync360. You agree to comply with DPDPA and any other applicable data protection laws when managing candidate data through our platform.

8.4 Data Export

You may export your data at any time via the platform's export feature. We will provide data in CSV format. Data export is available on all paid plans and for 90 days after cancellation.

9. Intellectual Property

StaffSync360 — including its software, design, algorithms, features, and documentation — is the intellectual property of SLV Technologies Pvt. Ltd. protected under Indian copyright and intellectual property law.

The "StaffSync360" name, logo, and associated marks are trademarks of SLV Technologies Pvt. Ltd. You may not use our trademarks without our written permission.

You retain ownership of any content you create using the platform (job descriptions, candidate notes, etc.). AI-generated content produced within the platform (JD suggestions, Boolean strings) is provided for your use without claim of ownership by us.

10. Third-party Services

StaffSync360 may integrate with third-party services (Razorpay, Stripe, job boards, calendar providers). Your use of those services is governed by their own terms. We are not responsible for the performance, availability, or data practices of third-party services.

11. Disclaimer of Warranties

StaffSync360 is provided "as is" and "as available". To the maximum extent permitted by applicable law, we disclaim all warranties, express or implied, including but not limited to:

  • Merchantability or fitness for a particular purpose
  • Uninterrupted or error-free operation
  • Accuracy or completeness of AI-generated content
  • Specific outcomes from use of the platform (placement rates, candidate quality, etc.)

AI features (match scoring, JD suggestions, Boolean strings) are provided as tools to assist human judgement — they are not guaranteed to be accurate and should not be relied upon as the sole basis for hiring decisions.

12. Limitation of Liability

To the maximum extent permitted by applicable Indian law, SLV Technologies Pvt. Ltd. shall not be liable for:

  • Indirect, incidental, consequential, or punitive damages
  • Loss of profits, revenue, data, or business opportunities
  • Damages arising from reliance on AI-generated content
  • Service interruptions or data loss caused by events outside our reasonable control

Our total aggregate liability for any claim related to the Service shall not exceed the amount paid by you to us in the three (3) months preceding the claim.

13. Indemnification

You agree to indemnify, defend, and hold harmless SLV Technologies Pvt. Ltd. and its officers, employees, and agents from any claims, liabilities, damages, and expenses (including legal fees) arising from:

  • Your use of StaffSync360 in violation of these Terms
  • Your violation of any applicable law in relation to candidate data you manage
  • Content you upload that infringes third-party rights

14. Termination

14.1 By You

You may cancel your account at any time via account settings or by contacting support@staffsync360.com. Cancellation takes effect at the end of your current billing period. Your data is retained for 90 days after cancellation, during which you may export it. After 90 days, all data is permanently deleted.

14.2 By Us

We may suspend or terminate your account immediately if you violate these Terms, engage in fraudulent activity, or if required by law. For non-violation terminations, we will provide 30 days' notice and a pro-rated refund of any prepaid amounts.

14.3 Effect of Termination

Upon termination, your right to access the Service ceases. Sections 8 (Your Data), 9 (IP), 11 (Disclaimer), 12 (Liability), 13 (Indemnification), and 15 (Disputes) survive termination.

15. Governing Law and Dispute Resolution

These Terms are governed by and construed in accordance with the laws of India, without regard to conflict of law principles.

Informal resolution: Before initiating any formal proceedings, you agree to attempt to resolve disputes informally by contacting us at legal@staffsync360.com. We will attempt to resolve the dispute within 30 days.

Arbitration: If informal resolution fails, disputes shall be submitted to binding arbitration under the Arbitration and Conciliation Act, 1996 of India. The seat of arbitration shall be Hubbali, Karnataka, India. The language of arbitration shall be English.

Exceptions: Either party may seek injunctive or other equitable relief in a court of competent jurisdiction for IP infringement, data breach, or urgent matters without first attempting informal resolution.

16. Changes to These Terms

We may update these Terms at any time. Material changes will be communicated by email to account holders at least 30 days before taking effect. Your continued use of StaffSync360 after the effective date constitutes acceptance of the revised Terms.

If we make material changes that reduce your rights or increase your obligations and you do not accept them, you may terminate your account for a pro-rated refund of prepaid amounts.
